At the Hiroshima International Center (hereinafter referred to as the “Center”), all the officers and staff members (including part-time staff members and temporary staff members) engaged in the Center’s operation (hereinafter referred to as the “Officers and Staff Members”) shall recognize that personal information is an important asset and that the protection of personal information is important to fulfill the Center’s projects, and shall strive to protect personal information based on the following policy;
Collection of Personal Information
- When collecting a person’s personal information, the Center shall clarify the purpose of handling the personal information, and collect the necessary information from that person with the person’s consent, in principle, by fair means without violating laws and regulations.
- In principle, the Center shall not collect personal information regarding a person’s ideology, belief, or religion, or personal information that might become a cause for social discrimination.
Use and Provision
In principle, the Center shall not use the personal information that it holds for any purpose other than the designated one, or provide the information to persons/organizations other than the Center.
Appropriate Management
- The Center shall take measures necessary to appropriately manage the personal information that it possesses, including prevention of information leakage, loss, or damage.
- The Center shall strive to maintain the personal information that it possesses so that it is accurate and up-to-date.
- In principle, once personal information that it possesses becomes unnecessary, the Center shall dispose of or delete the information completely and promptly.
- When allowing Officers and Staff Members to handle personal information that it possesses, the Center shall exercise all necessary and appropriate supervision to secure safe management of the personal information.
Commission
When commissioning a person/organization other than the Center to perform a task involving the handling of personal information, the Center shall take necessary measures to protect the personal information.
Disclosure, Correction, Use Stoppage, etc. of Personal Information
If the Center receives a request from a person or the person’s legal representative for the Center to disclose, correct, stop using, delete, or stop providing that person’s personal information, the Center shall respond to the request appropriately.
Organization and System
The Center shall select a personal information protection manager and an audit manager, thereby managing personal information appropriately.
Handling Complaints, etc.
- In the case of any complaint or request regarding the handling of personal information by the Center, the Center shall strive to respond to it appropriately and promptly.
- To maintain appropriate protection of personal information, the Center shall periodically review the personal information protection compliance program, including the possible revision of this policy.
- The Center shall take appropriate measures to ensure that requests for disclosure, correction, or stoppage of use of personal information can be made easily and appropriately.
